Executive Assistant / Operator

What You'll Be Doing

Four core areas — business, brand, systems, and personal.

Business Operations

  • Manage calendar, meetings, and optimize scheduling (Calendly setup)
  • Handle post-deal processes — client follow-ups, documentation, signatures, handovers, key coordination
  • Set up and maintain KYC processes + organized client folders (Google Drive)
  • Coordinate with agents — share listings, call and update brokers in Downtown, Dubai Hills, Meadows, etc.
  • Arrange property viewings based on requirements

Content & Brand Support

  • Help with podcast execution — research and reach out to guests, suggest topics and formats
  • Write and assist with LinkedIn posts and monthly reports / brochures
  • Support design work in Canva (clean, minimal, high-quality visuals)
  • Contribute ideas for community building — events, groups, engagement

Systems & Optimization

  • Build and maintain trackers, dashboards, and pipelines in Google Sheets (heavy daily use)
  • Improve workflows across website (conversion, structure, clarity)
  • Refine CRM / lead tracking
  • Tighten file organization across all systems
  • Build scalable processes instead of one-off fixes

Personal Support

  • Travel bookings — flights, hotels
  • Handle calls — airlines, memberships, etc.
  • General life admin to free up my time
